Job Summary

Under minimal supervision this position is responsible for the day-to-day operation in alignment with organizational goals. This supervisor will lead teams in the delivery of insurance verification, financially clearing future visits, documentation and verification of health insurance coverage information. Supervisor will perform administrative support functions for management. The supervisor and staff will utilize the EPIC System and various third party sites for the verification of eligibility and benefits for patients. Supervisor will train, mentor and coach specialists. Assigns and distributes work to clerical staff. Provides employee performance reviews and initiates corrective action when necessary. Demonstrates and promotes exemplary customer service through training and role modeling. Success in the position requires the ability to manage staff schedules, monitor metrics to ensure consistent service and access to Denver Health.

Essential Functions:
  • Supervision: Assigns duties and reviews work of clerical staff. Implements, coaches and supports patient experience tactics and initiatives. Schedules personnel and maintains adequate staffing levels. Reevaluates workflow and improves processes. Informs/educates clerks of new policies and processes. Monitors and tracks Quality Assurance. Identifies training and staff development needs and ensures appropriate training is provided. Hires new clerks, completes employee performance appraisals and handles disciplinary action. Monitor employee timecards. Provides performance feedback and coaching for individual clerical staff members on a regular basis. Maintains current knowledge of processes, policies and procedures and disseminates current knowledge to staff. (50%)
  • Clinic Operations: Monitor registration flow and phone queue. Maintain a timely and efficient charge reconciliation process. Keep up to date and involved in clinic projects/initiatives. Act as a liaison between providers, back-office staff, and clerical specialists. Promote team building through participation in clinic activities and staff meetings. Directs patients/families to appropriate resources (enrollment, concern resolution, patient accounts). Assist PM/TL with patient complaints. Orders forms and supplies for units, maintains inventory, and resolves supply issues. Handles service-related concerns of computers and office systems. Updates and maintains clinic standard work, improves processes, searches for opportunities to eliminate waste. Support Program Manager and Team Leader. Provide joint leadership. Schedule and attend regular management meetings. Schedule and attend regular staff meetings. (20%)
  • Collects comprehensive demographic and insurance information. Tracks and summarizes reports and presents information on a regular basis. Schedules staff coverage. Plans and monitors work activities, sets priorities and goals, participates in performance evaluations, corrective actions and coaches/trains employees. Assures completed and accurate vetting of all patients which includes timely authorizations and financial clearance. (10%)
  • Provider Support: Creates, edits, and maintains provider templates and schedules. Monitors and tracks clinic clerical efficiency through scheduling, charge entry, and registration systems. Ensure that all assigned data/tracking reports are complete and submitted in a timely manner. Specialty referrals. Complete and submit reports in a timely manner; may include sessions report, service denied report, etc. Supports and participates in Patient Centered Medical Home initiative. (10%)
  • Clerical Support: Monitor, assist, and support front desk staff with registration, scheduling, Health Information Management processes, and all other front desk operations. Manage and maintain cash handling processes and procedures. Know and instruct staff on downtime procedures. (10%)

Education:
  • No High School Diploma and/or No GED Required

Work Experience:
  • 4-6 years Five years in a hospital or medical office setting with benefit verification and financial vetting processes Required or
  • 1-3 years Two years supervisory or lead experience with an emphasis on customer service preferred

Licenses:

Knowledge, Skills and Abilities:
  • Skilled in evaluating factors requiring judgment, analytical thinking, and problem solving.
  • Ability to simultaneously coordinate and supervisor several functions, programs or projects in various stages of completion.
  • Ability to resolve problems that arise in the normal course of work, with specialized knowledge of the programs and policies of the organization.
  • Proficient in Microsoft Office
