Overview

As a Fleet Coordinator at Flatiron, you will be responsible for helping manage the company leased vehicle fleet, including license and registration, safety inspections and vehicle regulatory compliance.

What you will be doing
    Maintains and supports the company telematics program to include:
    • Ensuring all company wheeled assets have the proper telematics devices installed
    • Work with Fleet Manager and Equipment Managers to troubleshoot devices not responding
    • Maintain appropriate inventory of spare telematics devices to ensure maximum uptime of telematics program
  • Compile appropriate periodic reporting of telematics devices and driver behaviors
  • Supports the Electronic Logbook Device (ELD) system and historical data for the Company.
    • Assists managers and drivers with ELD corrections of driver data.
    • Helps to identify compliance issues by monitoring the ELD Dashboard
    • Supports and facilitates training on all aspects of the Telematics Program including ELD training for drivers and administrators
  • Assist Fleet Manager with fuel card program duties
    • Maintain employee Personal Identification Numbers (PINs) for the company fuel program, both issuing and terminating as required
    • Periodic fuel reporting, monthly and as necessary
    • Assist in issuing fuel cards as needed and directed by Corporate Equipment Department personnel
  • Helps to maintain a centrally controlled event log for incidents, accidents and reportable items across the company, in coordination with Corporate Fleet, Safety, Risk, and Legal.
  • Supports key functional leaders in a matrixed organization to address various infractions, violations, citations and accidents.
  • Assists equipment managers and operations leaders to coordinate with corporate legal, compliance, safety and risk teams to accurately respond to audits and inquiries regarding accidents, reportable incidents and develop Corrective Action Plans (CAPs).
  • Supports DOT/NSC Coordinator in maintaining Driver Qualification files, vehicle inspections and Hours of Service records.
  • Supports and administers federal, state or provincial compliance training related to DOT and NSC requirements.
  • Supports DOT/NSC Coordinator with administration of corporate substance-testing program
  • Supports cross-company training for compliance requirements, processes and monitors user acceptance. Escalates non-compliance issues to DOT/NSC Manager, Corporate Compliance, Director of Equipment, and Operations leadership for direction as needed.
  • Support published corporate policies.
  • Perform additional assignments per management's direction.
What we are looking for
  • High School Diploma / GED required.
  • Associate's degree in safety or related field preferred.
  • Experience and knowledge of US and Canadian regulations preferred.
  • Experience managing Driver log or ELD preferred.
  • Valid Driver's License
  • Equipment Management Specialist (EMS) preferred.
  • Proficient knowledge of DOT federal, state and NSC provincial compliance regulations.
  • Proficient knowledge of response requirements to violations and experience working through FMCSA and NSC audits.
  • Knowledge of hazardous materials regulations.
  • Proficient knowledge of Motor Carrier Safety and Unified Carrier Registration requirements.
  • Ability to train managers and employees on driver hour management.
  • Ability to travel 25%.
  • Professional and personable demeanor with focus on respect and dignity for drivers.
  • Advanced skills in MS Office Suite, including Outlook, Word, Excel and PowerPoint.
